Safety & compliance
Safety text is quoted word for word, approved by named people and logged.
Every safety notice reaches your customer exactly as written, before any answer or step.
At a glance
- Verbatim
- Copied from your PDF and checked character by character against the page.
- Approved
- A safety approver signs off every notice. DANGER can require two different approvers.
- Logged
- Extraction, approval, release and recall, each with who, when and the exact text.
- Not themeable
- Signal word, symbol and colour stay fixed under every brand, light or dark.
Verbatim extraction
We find each notice on the page by its signal word panel and symbol, copy its text from the PDF’s text layer, then compare every character with the page before anyone can approve it.
Scale builds up from minerals in water and slows the flow. Run a descale cycle every 3 months, or every 6 weeks if your water is hard.
- Empty the drip tray and the water tank.
- Mix 500 ml of descaler with 1 L of water and fill the tank.
- Place a 1.5 L container under the group head and steam wand.
- Text
- 129 of 129 characters match the PDF text layer, including punctuation and spacing.
- Signal word
- DANGER, read from the panel on the page, not inferred from the text.
- Symbol
- Safety alert symbol present beside the signal word.
- Page
- 14 of 48, Brio 2 manual EN v3, uploaded Sep 24.
- Placement
- Shown before “Descale your Brio 2” and before any answer that cites p.14.
Scanned pages
When a page has no text layer we read it with OCR, which can misread characters. The check then becomes “Compare by hand”, and each approver must confirm they compared the notice with the page image.
Mix 500 ml of descaler with 1 L of water and fill the tank. Then hold Steam and 2-cup together for 3 seconds.
Page 14 · Strong answerThe notice is complete and comes first. It is never streamed, shortened or folded behind “Show more”.
When the text doesn’t match, nothing goes live
Example: a notice edited by hand in an earlier tool. The check finds 2 differences from page 14, so Approve is unavailable until the notice is extracted again from the page.
Unplug the machine before cleaning. Never immerse the machine, cord or plug in water or any other liquid.

Approval workflow
Safety notices skip the bulk approve used for FAQs and guides. Each one is opened beside its page and approved by a person your Owner or Admin has made a safety approver.

Audit trail
If a regulator, an insurer or your own legal team asks what a customer was shown on a given day, you can answer from the log.
- Who acted, their role and the time, in UTC
- The exact text before and after, with the manual version and page
- Which release published it, and any recall with its reason
- Append-only: entries can’t be edited or deleted, including by Glassleaf staff
- Owners and Admins can export it as CSV

How notices render
Signal word, symbol and colour always appear together, so severity never depends on colour alone. The same block is used in the widget, in review and in the preview.
Quoted from the Brio 2 manual, EN v3
Under any brand, light or dark
- Order
- Before any answer or step it applies to. Never collapsed, never animated in.
- Brand themes
- Can’t change notice colours, symbols, borders or corners.
- Contrast
- Panels from 5.9:1 to 12.9:1. Body text 18.9:1 light, 16.3:1 dark.
- Greyscale
- Word, symbol and panel tone still differ. NOTICE has no symbol and an italic word.
- Screen readers
- Heard as “Danger. Safety notice from page 14”, then the text.
- Languages
- Always the manual’s own wording. With no manual in the visitor’s language, the original is shown with “Shown in the manual’s language”.
Standards alignment
How notices are handled is designed to align with these standards.
| Standard | What it covers | How Glassleaf is designed to align | What stays with you |
|---|---|---|---|
| ANSI Z535.6 | Safety information in product manuals, instructions and other collateral | Signal word panels for DANGER, WARNING, CAUTION and NOTICE. Safety alert symbol on the first three, none on NOTICE. Hazard text kept exactly as written. | Hazard analysis, the level you assign and the wording itself |
| ISO 3864 | Safety colours, safety signs and graphical symbols | Red, orange, yellow and blue are reserved for notices and used nowhere else in the widget or the dashboard. Brand themes can’t override them. | Signs, labels and pictograms on the product and packaging |
| IEC/IEEE 82079-1 | Preparing information for use (instructions) of products | Safety information shown before the step or answer it applies to. Every answer cites its page. The full manual PDF is one tap away on every screen. | Content, structure and completeness of your instructions |

Regulatory context
Rules that may be relevant to how you publish manuals and answers online. This is context, not legal advice.
EU General Product Safety Regulation (EU) 2023/988
Applies from Dec 13, 2024. Expects safety information in a language consumers can easily understand. Glassleaf can keep that information visible on your support site; it doesn’t replace what must ship with the product.
EU Machinery Regulation (EU) 2023/1230
Applies from Jan 20, 2027. Allows instructions in digital form in many cases, with paper on request. A cited, searchable manual may support that; the manual remains the instructions.
EU AI Act (EU) 2024/1689
Transparency duties for systems that interact with people. The widget labels its answers as written automatically from your manual, and offers a person on every screen.
Each summary links to its source on our Sources page.
What we don’t do
- We don’t paraphrase, shorten or summarise a safety notice.
- We don’t machine-translate a notice. Without a manual in the visitor’s language, we show the original and say so.
- We don’t write notices that aren’t in your manual.
- We don’t publish a notice without a named safety approver, or a DANGER notice without two when you require two.
- We don’t guess at safety questions your manual doesn’t cover. The widget says so, shows the closest page and offers a person.
Bring your compliance lead to the pilot
We run your manual through extraction and show every safety notice beside its page, before anything goes live.
